How to use the BukuGaji application to manage and pay employee salaries.

How to Register for the Business Paybook Application

The first step before you use the BukuGaji application is to register. The registration process in the BukuGaji application is very easy tailored. You only need to prepare an active cellphone number and store name to be registered. When everything is ready, follow the steps below.

  • Open the application BookSalary.
  • Enter your active mobile number, then click Confirm.

 

 

  • Next, you will receive an OTP code via SMS. Enter the OTP code for verification.

 

 

  • Then, click Confirm.
  • Next, enter the name of your business/store/business.

 

 

  • Then, click Get Started.

How to Use the Paybook Application to Manage Employees

After registering, then you need to know how to manage employees according to the function of the BukuGaji application itself. Managing employees here includes registering employees, setting working hours, to marking attendance.

How to Add Employees

To start marking employee absences, of course you have to add information about your employees in BukuGaji. Here's how:

  • Open the application BookSalary.
  • Enter menu S.
  • Click Add Staff which is next to the search button.

 

 

  • Then, click Add manually.

 

 

  • Next, fill in the employee profile starting from filling in the employee's name in the first column.

 

 

  • Then, enter the nominal salary of the employee per day/week/month/etc.

 

 

  • After that, select the desired salary payment time. Is it the beginning of every month, the end of the month, or a certain date.
  • Next, set the number of working hours per day and the number of working days per week of the employee by clicking Edit.

 

 

  • Set the start and end time of work and work schedule each week. Click Save.

 

 

  • If you have a provision to reduce an employee's salary if the employee is absent, check the box Deduct base salary if Employeeis absent.
  • Then, click Next.

 

 

  • Next enter the nominal allowance if any. If not, click No Allowances.

 

 

  • After that, you will see Salary Preview. If the information salary is correct, click Save and Continue.

 

 

How to Change and Delete Employees

If there is an error in the employee information or it turns out that the employee is no longer active, you can change and also delete it in the way below.

How to edit employee information:

  • Open the application BookSalary.
  • On the menu Home, select the name of the employee you want to change the information for in the employee list section.

 

 

  • Then, on the tab Profile There are several types of information. Select the one you want to change. For example, this tutorial will show you how to change personal information.

 

 

  • Click Personal Information, then click button Edit at the top right.

 

 

  • Then, enter the employee's phone number, title, date of joining, date of birth, address, and employee ID.

 

 

  • When done, click Save.

How to delete an inactive employee:

  • Open the application BookSalary.
  • Enter menu Home.
  • In section My Employees, you will see a list of the employees you have added.
  • Then, select the employee you want to remove or deactivate.
  • On the profile page of an inactive employee, click the button Delete which is at the top right.

 

 

  • Then, select one of the actions you want. You can delete it by clicking Delete or disable employees with a click Deactivate Employees. If you choose to deactivate, it means that the employee profile will still exist in the Paybook application.

 

 

How to Mark Employee Attendance in Paybook

If you have successfully added employees, then you can mark your employee attendance. There are three types of attendance that you can choose from when marking attendance, namely present, absent, and half day. Below are the steps on how to mark employee absenteeism.

  • Open the application BookSalary.
  • Enter menu Attendance.
  • You can directly tag employees with the click of a button Absent or Present next to each employee's name.

 

 

  • If you want to mark a half day absence, click on the employee name and select the type of absence half day.

 

 

  • Then, add notes if any.
  • After that, press Update Attendance.

How to Give Loans/Kasbon to Employees

Talking about employee management, including salaries, loans or cash payments, of course, cannot escape the conversation. If you allow cash payments to employees, you can also record them in the Paybook appin the way below.

  • Open the application BookSalary.
  • Enter menu S.
  • Select the employee you want to lend to.
  • Then, go to the tab Loans.

 

 

  • Then, press the button Loan Given green to give a loan.

 

 

  • Enter the loan amount that you will give.
  • Specify the grant date and return date.
  • Add notes (if any).

 

 

 

  • After that, click Apply Loans.

If the employee has paid part or all of the loan, don't forget to record it in the Paybook. Here's how:

  • Open the application BookSalary.
  • Enter menu S and select the employee who has already paid the loan.
  • Then, click the tab Loans and press the button Loan Paymentscoloured Red.

 

 

  • Enter the amount paid by the employee, the payment method used, and the date of payment.

 

 

  • Then, click Add Transactions to keep records.

How to Give Bonuses and Allowances to Employees

In addition to cash, bonuses and benefits are also two things that cannot be missed when talking about salaries. However, unlike cash receipts that must be returned by employees, bonuses or allowances are a form of appreciation that you can give to employees without refund.

Because bonuses and benefits also affect the amount of employee salaries, you must also record them in the Paybook with the following steps.

  • Open the application BookSalary.
  • Enter menu S.
  • Select the employee for whom you want to give bonuses/benefits.
  • Click button Add Salary Adjustments in the lower right corner.

 

 

  • Then, select Bonus or Allowance in section additions.

 

 

  • Enter the amount of bonus/allowance you want to give. If you choose to provide an allowance, don't forget to select an allowance category. Such as allowances for food, transportation, or others.

 

 

  • After that, click Add Transactions.

How to Use the Paybook Application for Paying Employee Salaries

Apart from helping you manage your employees, BukuGaji has also been connected to paymentGateway which can help you to make payroll payments one by one or simultaneously through the BukuGaji Pay feature.

However, before using this feature, you are required to enter even the bank account information of each employee to facilitate the payment process. Here's how to add an employee bank account.

  • Open the application BookSalary.
  • In section My Employees in the menu Home, select an employee.
  • Then on the tab Profile employee, select Bank Account Details.

 

 

  • Then, click Edit.

 

 

  • Enter the name of the bank, the name of the account holder, and the account number.

 

 

  • After that, click Save.

If you have, then you can start the payment process with BukuGaji Pay. Check out the steps below:

  • Enter menu Payment on the Paybook application.
  • Then, click the button Pay withBookSalary Pay.

 

 

  • Select the employee for whom you want to pay a salary. You can also select all employees at once by checking the box Select All.

 

 

  • Then, click Continue to Pay.
  • Next, follow the requested payment instructions until the payment process is successful.
