Reviewing HR Management System Technology Trends with CATAPA

CATAPA has been used by more than 30 thousand users from various companies throughout Indonesia

The role of technology to democratize the company's business processes is expanding, not least in the human resources (HR) division. Indeed, technology products for HR information systems (Human Resources Management System - HRIS) have been widely sold on the market, especially from foreign vendors. However, due to existing limitations, both in terms of features and stages of implementation, there are still many office HR activities that are done manually. For example, applying for leave with a paper form, process screening methods candidates, until payroll is transferred manually.

In addition, the culture in each country can be different, so it is very important for system developers to understand the needs and expected user experience. This is an opportunity for local startups to innovate with the understanding they have. In the form of Software as a Services (SaaS), there are already several HRIS products developed by local players, one of which is CATAPA. This startup led by Stefanie Suanita (Founder & CEO) is quite agile in product development; in the past pandemic, they rolled out some features for customization.

One of them CATAPA Safe, which is an application that functions to identify the distance between employees while in the work area. Released in April 2020, this service has three main goals, namely Track, Trace, and Isolate. If there are employees who are positive for Covid-19, the company can track who has been in contact with the employee in question for the past 14 days to be immediately isolated.

In addition, to support activities work from home or working remotely, also released CATAPA Contactless Attendance. Presence application that allows HR teams to detect their legitimacy by viewing photos to their working location.

DailySocial had the opportunity to conduct an exclusive interview with Stefanie, discussing issues in the company's HR needs and technology trends that will transform HRIS in Indonesia.

Problems in traditional HR systems

According to Stefanie, there are several urgencies that make companies start considering digital services to support HRIS. First, from the existing system there are still many aspects that are done manually, as mentioned earlier.

"Many companies are still using Excel to apply for leave, the issue will occur single point of failure. file and knowledge-it is only stored on the laptop of one HR team. There will be problems if the person is sick or even leaves the office,” said Stefaine.

He continued, “Not to mention when it comes to business payroll. Maybe for employees whose monthly salary is quite large, a few hours late transfer doesn't really have much impact. But there are some employees with mediocre salaries who are very dependent on this income. Delay an hour or two becomes very influential for them.”

Second, existing advanced HRIS services tend to be expensive. Moreover, from international vendors, many have not fully supported the work culture here – for example the system payroll adjusted to the tax policy in Indonesia, or integrated with the payment system in Indonesia. Then the third is related to usage support; many companies told Stefanie to switch to local HRIS services because they wanted faster usage support.

As SaaS, CATAPA charges a subscription fee per employee which costs around 12 thousand. Stefanie claims that digital transformation in the realm of the HR system can save costs up to 120 million Rupiah per year and time savings of up to 12 thousand minutes. Because the company does not need to spend more money for the procurement of infrastructure and additional workers.

HRIS technology trends

Specifically for supporting HRIS, Stefanie revealed that there are three technologies that will shape the trend in 2021. First, the use of cloud-based The increasingly massive HRIS. According to the Gartner Report, 55% revenue HRIS comes from -based solutions cloud. Indicates a growing fan base.

"In the past, many wanted the HRIS system to behost on the local server for fear of data security. But now the paradigm has begun to change. Service cloud HRIS CATAPA even offers a security system military rank. With cloud, the company can stairs faster at an affordable cost without having to invest heavily in servers and engineer, said Stefanie.

The next trend is related to the Employee Wellness System, which is a series of programs or activities to support a healthy work environment. For example, there is a need for the HR team to conduct daily surveys, to monitor the health condition and happiness level of employees to maintain their productivity. Even in today's times, daily body temperature records are also one of the efforts to monitor employees.

“Throughout this pandemic, CATAPA Safe products have been in great demand. One of these services was developed to support a healthier work environment in the midst of a pandemic," he added.

Then the last technology trend is HRIS which empowers artificial intelligence. Features like chatbot, facial recognition, to optical character recognition will be more massively implemented into the system.

“For example, we at CATAPA implemented OCR to bring the resume feature parsers, helping the HR team to quickly select candidates. Resumes or CVs that come in do not need to be read one by one, can be directly selected according to the criteria. This technology can also be used to simplify the process Reimbursement by men-scan the shopping receipts to be reported,” explained Stefanie.

CATAPA business development

So far, CATAPA has served more than 30 thousand users, spread throughout Indonesia. Stefanie said that this pandemic has pushed digitalization in various cities, thus bringing in many new clients from companies outside Java. It also continues to focus on developing use case while conducting related education technological innovations in HR systems.

“When dealing with HR people, it will be more relevant to talk about use case, put our services on their side in helping to solve the problems encountered. For example chatbot, instead of explaining the sophistication of the technology, we prefer to explain the functionality that can help HR answer inquiry from employees for general questions such as remaining leave, new rules, BPJS balances, etc.,” said Stefanie.

In addition to ready-to-use services that HR can use instantly, CATAPA also has stack technology represented in the Application Programming Interface (API). One of its main missions is to form an ecosystem on the CATAPA platform.

"The API also allows CATAPA services to be integrated with existing HRIS, including integration with other HRIS provider partners, such as international ERP systems," he added.

He also said that CATAPA customers can only choose the services they need, not having to use the whole system. This can allow the transition process to be gradual and partial. “Suppose there is a Bank that only wants to use chatbot us to serve its employees efficiently, it can also be done. There were also companies at the beginning of Covid-19 that only wanted to use the CATAPA Safe service."

In 2021, CATAPA will still focus on business growth, by attracting more companies to use its services. The GDP Venture portfolio also said it would still focus on expanding partnerships with strategic partners, instead of raising funds. "For fundraising no, but yes for mutual partnership. We still want to strengthen the feature ecosystem in CATAPA," concluded Stefanie.
