Having a clearing letter means having proof of experience working in a company for a certain period of time. This means, by having a clearing letter in hand, you can prove your performance to recruiters at a new company.

What is a Clearance Letter?

Paklaring letter is a work experience statement document issued by the company to an employee when he/she is no longer working at the related company, either because he/she has resigned. (resign), termination of employment (PHK), or retirement.

An employee's statement cannot be made by the employee himself because basically it is a performance appraisal from the company, so the writing must also follow the official format. The Paklaring letter is made by the company's HR, using company letterhead, and signed by the HR leader or authorized leader.

After that, employees need to wait from a week to 1 month until the Paklaring letter is completed. Employees also do not need to wait for the stamp or signature of the Manpower Office, it is enough from the authorized leadership in the related company.

In the Paklaring letter, the company needs to include the name of the employee, last position, years of service, salary, and so on benefits which is owned. Unfortunately, there are still a few Indonesian companies that are willing to mention salaries and fees benefits employees in a letter of clarification.

Terms of Making Paklaring Letter

Minimum working time

Keep in mind, a letter of explanation can only be obtained when the employee has worked for at least one year in the relevant company or according to the agreed contract. If it is less than a year or before the contract expires, then the employee cannot take care of the Paklaring letter.

This minimum one year requirement is considered as a parameter of employee maturity in carrying out work in their field. This certainly needs to be considered by millennials or Gen Z who like to change jobs before one year. This is because the Paklaring letter has many benefits which will be discussed further in the next segment.

Kindly resign

Another requirement for making a Paklaring letter is the completion of a good period of service. This means that employees must ensure that they have carried out all their responsibilities before leaving the company.

In addition, the reason for completing work is not because of being fired or defaulting. If it is not for these two things, then the employee is entitled to a clearing letter and the company is obliged to issue the letter.

This is because the Paklaring letter is regulated in the Act as a normative right of workers. If the company does not issue a clearing letter, the company may be subject to a warning in the form of a sanction, or at worst its business license will be revoked.

The function of the clearing letter

There are various reasons why a clearing letter is important for employees who are no longer working at the company concerned. Here's the list.

Disbursement of Old Age Security Funds (JHT)

First, the Paklaring letter is very important for the process of disbursing funds that have been collected by employees through BPJS Ketenagakerjaan. The funds that have been collected are JHT funds that can only be fully withdrawn when they are 56 years old.

Even so, you can still take 10% of the total amount collected before the age of 56. However, to withdraw these funds, you must include a letter of explanation as one of the conditions. If not, then the funds collected in BPJS Ketenagakerjaan cannot be taken.

Application for bank loans and credit cards

In addition to salary slips, the Paklaring letter is also a document requirement for applying for bank loans and credit cards. For example, applying for Unsecured Loans (KTA), Motor Vehicle Loans (KKB), Home Ownership Loans (KPR), and the like. The Paklaring letter becomes a bank review document to estimate whether the prospective debtor is able to pay the installments.

Apply for a new job

In general, when you want to apply for a new job, not infrequently the company will ask for work references. Well, the information that contains contributions and assessments of performance at the previous company in the Paklaring letter can be used as a work reference.

Apply for professional pathway scholarships and competency certification requirements

For those of you who want to apply for a scholarship for S2 or S3 through a professional route, you can use a legalized Paklaring letter as a supporting document. In addition, according to Article 18 Paragraph 3 of the Manpower Law, the Paklaring letter can also be used as a supporting document for competency certification according to the field.

How to Make a Paklaring Letter

If you are an HRD practitioner, you need to know how to make a good and correct cover letter, because this is related to a person's work experience. The following components must be included in the Paklaring letter.

  1. Letterhead. Indicates legality because it is issued by a legal company.
  2. Company name. This section can be included on letterhead, complete with address and contact that can be contacted such as email or office phone number.
  3. Authorized identity. Who will provide the assessment and/or sign the letter.
  4. Letter name. Just like the title of the letter, it is in the top center, just below the letterhead.
  5. Reference number. Generally located in the upper right corner of the letter. However, there are also those who put it under the name of the letter.
  6. Content of letter. Consists of the identity of the employee as the party whose performance is assessed, then proceed to the performance appraisal of the company.
  7. closing sentence, to close the letter.
  8. Signature, from the HR manager or the authorized person.
